What is the Contact View Across Subaccounts feature?
The Contact View Across Subaccounts feature is designed to help large organizations get a better understanding of a contact’s relationship with the entire organization. It shows all subaccounts that a contact is affiliated with, as well as the last 90 days of a contact’s engagement history across all subaccounts. This provides valuable insights into contact behavior and allows for more efficient management across subaccounts. It also enhances data visibility and ultimately improves customer relationship management efficiency.
How to turn on the Contact View Across Subaccounts feature
The Contact View Across Subaccounts feature is enabled at the subaccount level and must be turned on by the account Parent or a Manager. To enable the feature for a particular subaccount:
- Navigate to the desired subaccount.
- Click on the gear icon in the upper right corner of your screen.
- Under Subaccount settings, click on Account.
- Click on the Features tab.
- Check the box next to Contact view across subaccounts.
- Click on the Save button.
You can also enable the feature from the parent account by:
- Click on the Subaccounts section at the top of the screen.
- Locate the desired subaccount in the list.
- Click on the corresponding dropdown arrow on the right.
- Select Edit subaccount from the dropdown menu.
- Click on the Features tab.
- Check the box next to Contact view across subaccounts.
- Click on the Save button.
How to automatically enable the Contact View Across Subaccounts feature for new subaccounts
You can choose to automatically enable the Contact View Across Subaccounts feature for new subaccounts by adding it to your subaccount defaults.
- In the parent account, click on the Subaccounts section at the top of the screen.
- Click on the Subaccount defaults tab.
- Scroll down and click on the Account features accordion menu.
- Check the box next to Contact view across subaccounts.
- Click on the Save button.
How to use the Contact View Across Subaccounts feature
Once the Contact View Across Subaccounts feature is turned on for a subaccount, any user with access to the Audience tab can see all other subaccounts associated with a contact. The app will show all subaccounts associated with that contact, even if the Contact View Across Subaccounts feature is not turned on for those subaccounts.
To view this information, navigate to the Audience tab and click on the email address of the desired contact to open their contact record.
Emails
Click on the Emails tab to view a contact’s campaign history. To view campaign history from other subaccounts, click on the Show emails from other subaccounts toggle. You can also use the Select subaccounts dropdown to filter for certain subaccounts.
When the Show emails from other subaccounts toggle is on, only the last 90 days of campaign history are shown.
Subaccounts
Click on the Subaccounts tab to view the list of subaccounts where that contact is a member. Users can click on a subaccount name to be redirected to the contact record in that subaccount. If a user does not have access to a subaccount, they will be able to see it in the list, but they will not be able to click on the name to access it.
If a contact has been archived in a subaccount, there will be an Archived label and date next to it.
Export
Click on the Export button to export the contact’s activity data from the past 18 months. If you want to include their data across all subaccounts, check the Include activity data for all subaccounts this contact is a member of box in the pop-up that appears. Then click on the Export button.
The exported CSV file includes all activity from the past 18 months, even if users choose to include activity data for all subaccounts.
Frequently asked questions about Contact View Across Subaccounts
Will the analytics at the top of the contact record update when the “Show emails from other subaccounts” toggle is turned on?
No, the statistics for mailings sent, open rate, and click rate will only pertain to the contact’s activity within the individual subaccount that the user is currently in.
Can users see information from subaccounts that they don’t have access to?
Yes, users can see the names of subaccounts to which they do not have access, as well as campaign activity from those subaccounts. However, they cannot access those subaccounts by clicking on the name.
When I turn on campaign data from other subaccounts, I can’t see all the mailings from the current subaccount anymore. Why is this happening?
When campaign data from other subaccounts is turned on, the Emails tab only shows campaigns from the past 90 days. When campaign data from other subaccounts is turned off, the Emails tab shows campaigns from the past 18 months. As a result, any campaigns from the current subaccount that were not sent in the past 90 days will not be shown when campaign data from other subaccounts is turned on.
Can I limit which users can see the information from the Contact View Across Subaccounts?
No, once the Contact View Across Suabccounts feature is enabled, any user with access to the Audience tab will be able to view that information.
