How to submit campaigns for review as an Editor or Author
In tiered accounts, Editor and Author users can create campaigns but cannot send them; instead, they submit scheduled campaigns to the account Parent or a Manager for review.
Essentials accounts do not have the Manager role, so only the account Parent can approve campaigns.
When you are finished creating a campaign, click the Next button, which will take you to the Review page.
On the Review page, Editors and Authors can do the following:
- Choose the audience for the mailing
- Enter a subject line
- Enter pre-header text
- Edit the sender name
- Edit the sender email
- Set a separate reply-to address
Once you have made your selections, follow these steps:
- Click on the Schedule & submit button.
- In the pop-up window, select the date and time that you’d like the mailing to be sent.
- Click on the Submit for approval button.
This will schedule the mailing and mark it as Pending approval on the parent account’s dashboard. It will also automatically send a notification to Managers who are set to receive approval notifications, as well as the Parent.
How to review submitted campaigns
As an account Parent or Manager, you can review campaigns that were submitted for approval by Editors and Authors. If you are not receiving approval notification emails, check your profile to make sure that the Send notification emails toggle is on. The account Parent user can also adjust this permission for Managers in the parent account Users tab; to adjust a Manager’s permissions when working in a subaccount, simply click on the house icon in the upper right corner of your screen and select Users from the dropdown menu. If you have this option toggled on, any time an Editor or Author submits a campaign for review in one of your subaccounts, you will receive an email notification.
When you click on the Review mailing button in the approval notification email, it will automatically bring you to your account dashboard. From the dashboard, you can review and modify the details of mailings that are pending approval or scheduled to be sent. Clicking Review allows you to review the content, sender information (from name, from email address, reply-to email address), subject line, send time, and the chosen audience for the mailing.
If you are not logged in to your email marketing account when you click on the Review mailing button in the approval notification email, you will instead be brought to the login screen. If you are using SSO, you may encounter an error message, since SSO users must log in through their SSO portal, instead of the normal login screen. For best performance, we recommend logging in to your account before clicking on the Review mailing button in the approval notification email.
Clicking Edit content will allow you to edit the content of the mailing and make specific updates as needed. Once you are satisfied with the mailing, click on Review & schedule and you will return to the screen where you can approve or deny the mailing.
Once the mailing has been updated, you will again have the option to approve or deny it. If there is something you’d like to communicate to the Editor or Author, you can also choose to send a comment to whoever submitted the mailing describing why you have decided to approve or deny it by clicking the Notify [submitter email address] by email checkbox.
You can enter your comments about the mailing in the text box and then approve or deny the mailing. The alert will be sent from the Parent or Manager’s email address so the recipient can then respond directly to that person.
The Editor or Author who submitted the campaign will receive an email from the Parent or Manager with the comments about their submission and also have the option to reply.
After a mailing has been approved, it will move from “pending approval” to “scheduled” in your account dashboard. If a mailing or campaign has been denied, it will be removed from your dashboard and will then be labeled as a draft in the subaccount that submitted it.
How to review campaigns in bulk
As an account Parent or Manager, you can review campaigns sent by Editors and Authors in bulk. Within the approvals dashboard, Parents and Managers can select Review pending mailings to access the Pending mailings dashboard.
In the Pending mailings dashboard, Parent and Manager users can select multiple pending mailings and then click on the Approve all button. This tab also includes additional information about the campaigns’ created and last edited dates, as well as the submission and schedule dates.
It can take up to 10 minutes for approval changes to be reflected on the homepage. It takes approximately 0.5 seconds per mailing to be approved.
Frequently asked questions about submitting and reviewing campaigns
Do I have to cancel a scheduled or pending approval mailing to make changes to the content of the mailing?
No, Managers or the Parent can edit the content of a mailing from their dashboard without canceling the mailing or denying the mailing. Simply select the mailing you want to make changes to and select the Edit content button, which will direct you to the campaign editor.
Can all users run a subject line split test?
No. Editors and Authors do not have the option to run a subject line split test.
